Healthcare Payment Processing: A Practice Review Checklist

A healthcare payment processing review should start with the work your team does every day. Before comparing a new processor, map how a patient pays, how that payment reaches the bank and how your staff records it. A medical, dental, chiropractic, aesthetics or wellness practice can use the checklist below to bring specific questions to the conversation.

1. Map the patient payment journey

Write down the payment steps before, during and after an appointment. Include any card-on-file process, front-desk terminal, online payment link, recurring payment or follow-up balance collection that your practice actually uses. Note where a team member re-enters information or checks more than one system.

For each step, identify the person responsible and the source of the payment record. This gives you a practical test for a proposed setup: can it handle the same workflow, and what would change for your team?

2. Compare deposits with your merchant statement

Bring a recent merchant statement and an example of the deposits you are trying to reconcile. Ask the reviewer to explain transaction charges, recurring account fees, adjustments and deposit timing. A headline rate alone does not show every cost or explain why a bank deposit differs from the amount collected.

Ask for a written explanation of which fees are included, which depend on usage and which could apply when you change or end the service. Any savings estimate should be based on your actual statement and requirements.

3. Confirm compatibility with your practice software

List the exact EHR, EMR or practice-management product your team uses. Include the version or configuration when available. Ask the payment provider to demonstrate the connection and explain what happens when a payment succeeds, fails, is refunded or needs correction.

Do not assume that a logo on an integrations page means every feature works with every setup. Confirm supported functions, setup responsibilities and any separate software or integration charges before deciding.

4. Test the front-desk workflow

Use a sample workflow with no real patient information. Have a staff member walk through collecting a payment, finding the transaction, issuing an authorized refund and checking the corresponding report. For dental payment processing, include the payment situations your dental office encounters rather than relying on a generic retail demonstration.

Ask how receipts are delivered, what a staff member sees when a payment needs attention and who can access each function. Record any extra steps so the team can compare the current and proposed processes fairly.

5. Plan support and the transition

Before a change, confirm the support contact, available hours, hardware requirements and training plan. Ask who owns each setup task, how your team will confirm readiness and what the fallback process is if an issue occurs during launch.

Keep a short decision sheet: current workflow, proposed workflow, confirmed fees, remaining questions and next action. This helps your practice choose based on the complete operating picture.

Questions to bring to your review

Which fees are fixed and which vary with activity? What explains the timing and amount of deposits? Which functions work with our exact practice software? Who handles installation and training? How does our team get help with a payment issue?
